What Happens After You Book Your Wedding Venue? A Month-by-Month Planning Guide
One of the biggest questions couples ask after booking is, "Okay... now what?"
First of all, take a deep breath and celebrate! Booking your venue is one of the biggest milestones in the wedding planning process.
Every couple's timeline will look a little different depending on how far in advance they book and which package they choose. Some of our couples plan their wedding in just a few months, while others enjoy a two-year engagement.
For this example, let's look at what a typical 12-month planning timeline might look like for one of our Gold All Inclusive couples.
12 Months Before Your Wedding
Congratulations! You're officially booked!
After booking, you'll begin receiving several emails from us designed to help you throughout the planning process. These resources walk you through the next steps, answer common questions, and help make planning feel much less overwhelming.
The goal is simple: give you the tools you need so you always know what comes next.
10-11 Months Before
If you're using one of our preferred photographers, now is a great time to get them officially booked.
Popular photographers often book well in advance, so it's nice to check this one off your list early.
Around 9 Months Before
This is when the fun creative planning really begins.
Start thinking about:
Your wedding colors
Overall style and atmosphere
Floral inspiration
Cake ideas
Décor that fits your vision
You don't need every detail figured out yet, but this is a great time to start gathering inspiration and narrowing down your favorites.
6-8 Months Before
Now it's time to meet with your florist and cake artist.
These meetings help transform all of those saved Pinterest photos into an actual wedding design that fits your style, budget, and guest count.
One of the biggest advantages of an All Inclusive package is that you're working with vendors who already know the venue well, making these meetings feel much more relaxed.
4-5 Months Before
It's invitation season!
This is also a great time to finalize your catering plans. Many couples attend one of our Open House events or schedule a tasting with Catering Creations to choose their menu.
Food is one of the things guests remember most, so this is always a fun part of the planning process.
About 3 Months Before
Now we really start putting all the pieces together.
Around this point, I'll reach out to see where you are in the planning process, answer questions, and help identify any loose ends that still need attention.
By now, most of the big decisions have been made. We're simply making sure everything comes together smoothly.
2 Months Before
It's time to collect those final RSVPs and begin finalizing guest counts.
This is also when your final venue payment is due, allowing us to begin preparing everything for your wedding day.
1 Month Before
You're almost there!
This is when we'll confirm setup details, finalize your layout, and have you complete your DJ worksheet so everyone knows exactly how you'd like your day to flow.
Most of the planning is behind you now.
The countdown is officially on.
2 Weeks Before
Our final check-in takes place about two weeks before the wedding.
Whether it's over the phone or through email, we'll go through the details one last time to make sure everyone is on the same page.
By this point, there shouldn't be many surprises. It's simply a chance to confirm everything and give you peace of mind before the big day.
The Bottom Line
Wedding planning can feel overwhelming when you look at everything at once.
But when you break it down into manageable steps, it becomes much more enjoyable.
At Stonegate, our goal is to make sure you're never wondering what comes next. Whether you're planning from two hours away or twenty minutes away, we're here to help guide you through the process so that by the time your wedding day arrives, all that's left to do is enjoy it.
